User Data Deletion Instructions

How To Request Deletion

OpsNote users can request deletion of account or workspace data by contacting hello@opsnote.co.uk. Include the email address used to sign in to OpsNote, your business name, and enough detail for us to verify your authority over the account or workspace.

If you are a customer of a business that uses OpsNote, contact that business first where possible. You may also contact OpsNote and we will help route or assess the request where appropriate.

Disconnecting Connected Accounts

Users can disconnect supported services such as Facebook, Instagram, WhatsApp, and Gmail from the OpsNote settings page where those services are enabled. Once a service is disconnected, OpsNote stops using that connection to sync new messages or send replies through that channel.

You can also remove OpsNote from your Meta Business integrations, Facebook Page settings, WhatsApp Business settings, or Google Account permissions where those providers make controls available. Provider-side removal may stop future access but does not automatically delete records that were already synced into your OpsNote workspace.

What We Delete

On a verified deletion request, OpsNote deletes or disables the user account and removes associated application data where reasonably possible. This may include workspace records, connected channel records, OAuth tokens, webhook metadata, synced messages, lead data, notes, bookings, saved settings, AI-generated summaries, uploaded receipts or invoices, stock records, activity records, billing status records, and integration metadata.

Deleting a lead, uploaded receipt, invoice, or material inside the app removes that item from the active workspace view. Some linked records may remain where needed for audit, payment, security, backup, or service-integrity purposes.

Meta Data Deletion

To request deletion of Meta-related data processed by OpsNote, email hello@opsnote.co.uk with the OpsNote account email, business name, and the connected Facebook Page, Instagram professional account, or WhatsApp Business account involved. After verification, OpsNote will remove the connected channel records and related synced data where reasonably possible.

Timing

OpsNote aims to acknowledge deletion requests within 7 days and complete verified requests within 30 days where reasonably possible. Some requests may take longer if we need additional verification, if the request is complex, or if we must retain limited records for legal, tax, accounting, payment, security, abuse-prevention, backup, or service-integrity reasons.

Retention After Deletion

Some records may be retained temporarily or in limited form where required for legal, tax, accounting, payment, dispute, security, fraud-prevention, abuse-prevention, backup, or service-integrity reasons. Stripe may retain payment records according to Stripe's own legal and compliance requirements. Backup copies are removed through normal backup expiry processes.
